General Questions
What is SHIFT For Outlook?
SHIFT For Outlook is a secure file transfer solution that allows users to send large files directly from Microsoft Outlook, with an experience that feels just like sending an email—while ensuring enterprise-grade security and compliance.
Why do I need SHIFT instead of email attachments?
Most email systems limit attachments to around 20MB. SHIFT removes this limitation, allowing you to send files of any size securely, without resorting to unsecured workarounds like public file-sharing tools.
Do recipients need SHIFT to receive files?
No. Recipients can access files via:
- SHIFT For Outlook (if they have it), or
- A secure web portal via their browser

Security & Compliance
How secure is SHIFT For Outlook?
SHIFT uses multiple layers of security:
- Encryption in transit (TLS)
- Encryption at rest (BitLocker)
- Virus scanning on all uploaded files
- File integrity verification via hashing
Are files encrypted?
Yes. All files are encrypted:
- During transfer (TLS)
- While stored on servers (encryption at rest)
Does SHIFT support Multi-Factor Authentication (MFA)?
Yes. MFA can be:
- Enforced at the organisation level
- Enabled by individual users
- Integrated with Microsoft 365 authentication
For NZ government organisations, MFA is enforced by default to align with NZISM requirements.
Can files be restricted after sending?
Yes. You can:
- Set expiry periods (1–30 days)
- Enable one-time download
- Recall files before they are accessed

User Experience
How does SHIFT integrate with Outlook?
SHIFT is an Outlook add-in that allows users to:
- Send large files directly from Outlook
- Track sent and received files
- Manage transfers via a familiar interface (Inbox, Sent, Contacts)
Is additional login required?
No. SHIFT uses your Microsoft 365 authentication:
- Single sign-on via Outlook
- No additional passwords required
- Security policies (including MFA) are inherited from your organisation
What happens when I send a file?
The process is simple:
1. Attach files and send via Outlook
2. Files are securely uploaded
3. Recipients receive a notification
4. They download via secure access
Behind the scenes, files are encrypted, scanned, and stored securely before being made available.

File Handling & Storage
Where are files stored?
Files are stored on secure SHIFT Transfer Nodes located in:
- New Zealand (Auckland & Wellington)
- United Kingdom (London)
Organisations can also choose their preferred storage location.
Can we host SHIFT ourselves?
Yes. SHIFT File Server nodes can be:
- Fully hosted (Liverton-managed)
- Self-hosted (on-premise or in your private cloud)
With self-hosting:
- Your organisation has full control
- Liverton Security has no access to your data
How long are files stored?
Files are:
- Stored temporarily (1–30 days configurable)
- Automatically deleted after expiry
- Guaranteed deletion after a maximum of 31 days
Are files backed up?
No file data is backed up to ensure security. Only metadata (transfer logs) is retained for audit and support purposes.

What control do administrators have?
Organisation administrators can:
